Coordinator - Operations and Events

Reporting to the Director, Operations, the Coordinator, Operations and Events responsibilities include helping the association run smoothly and ensuring that deadlines, plans for events or anything related gets accomplished on time with no issues.

We are looking for a reliable and organized Coordinator to assist with the management of daily logistics and activities. In this position, you will contribute in an administrative capacity by assisting our teams on projects, supporting accounting duties, organizing company events and helping with our communication activities. 

Ultimately, you will work in a support role and oversee many administrative tasks as needed.

Must perform the following tasks associated with the operations of the association:

  • Promptly answer member enquiries (telephone, email, social media)
  • Participate in the development of the association’s budget and monitor budgets
  • Assist the Director, Operations with quarterly financial reporting
  • Data entry (accounts payable/receivable)
  • Take inventory and order office supplies as needed
  • Organize and schedule meetings; and take detailed minutes when required
  • Attend all staff meetings, Executive meetings and board meetings (and committee meetings as required).
  • Assist with posting and distributing the association’s correspondence, news releases and other communications (i.e. news bulletins, emails, etc.)
  • Work with Manager, Marketing and Communications to ensure website information is up-to-date and accurate (i.e., monthly news bulletins, conference program information, member benefits, job postings, etc.)
  • Organize travel and accommodations (i.e., Executive, Board members, staff, and VIPs)
  • Other duties as assigned by the Director, Operations

 Must perform the following tasks associated with association’s events:

 Support the planning and development of the association’s conference and other events i.e. lobby days, webinars, etc.

  • Maintain and adhere to critical path to ensure timely delivery of events
  • Act as first point of contact with the Program Planning Committee and event speakers
  • Ensure conference correspondence is created and sent in a timely manner (i.e., mail merge and send letters to speakers, exhibitors, sponsors, delegates, VIPs)
  • Assist with event registrations (i.e. create event tickets using association’s platform)
  • Work with hotel and vendors to negotiate contracts, coordinate event logistics (room set-ups, audio/visual, food & beverage), etc.
  • Be a convenient and reliable resource and reference person for conference contacts and participants.
  • Other duties as assigned by the Director, Advocacy and Communications.

 Qualifications:

  • Must have 3 to 5 years experience as an administrative team member
  • Must have some event planning experience
  • Some accounting knowledge is an asset
  • Must be knowledgeable and able to articulate and implement Association policies, rules, and regulations
  • Must have demonstrated the willingness to accept supervision, the ability to follow directions, the capability to work under pressure and work as a team.
  • Must demonstrate excellent customer service skills.
  • Must be committed to successful teamwork
  • Must be able to travel
